Hokkaido Campervan Rental: Cancellation Fees & Payment Methods Compared Across 45 Companies (2026 Edition)
You’ve booked a campervan in Hokkaido, then the weather or your work schedule changes and you need to cancel — how much do you get back? It’s the question almost everyone has before booking, yet the answer is scattered across dozens of company websites with no single place to compare them. For this article we checked the official websites of 45 campervan rental companies across Hokkaido, one by one, and put together their cancellation fee timing, cancellation fee rates, and payment methods in one place.
We were able to confirm information on 36 of the 45 companies from their official websites. Of those, 30 had clear, verifiable details for timing, rate, and payment method. 6 had only partial information (for example, a rate that isn’t published, or no mention of payment method). The remaining 9 companies are not included because their website has no rental terms page for campervans, the site was technically unreachable, or we could not even confirm the company is still operating. Every figure here comes directly from the wording on each company’s own site — we have not filled any gap with a guess or an “industry average.” Where we could not confirm something, it’s marked “Check with the company” in the text below.
The terms below were confirmed on each company’s official website as of August 3, 2026. Rental companies can revise their cancellation terms at any time, and the terms in effect are whichever ones apply on the date you actually book. Always check the official website again before you complete a booking.

The method was simple. For each company, we opened the “Terms of Use,” “Rental Agreement,” “Price List,” or “FAQ” page on their official website and looked for wording about when a cancellation fee applies, the rate, and the payment method. Where we found it, we quote the company’s own wording; where we didn’t, we mark it “Check with the company.” If you’re still working out when to book a campervan rental, the cancellation terms are ultimately what matter most, so it’s worth reading alongside this article.
Along the way we also found some things worth flagging. The URL listed for 99 Rent-A-Car Hokkaido in our internal company list (the .com domain) actually belongs to an unrelated overseas company — the correct official site is the .jp domain. For COTARU, LUXURY MOTORHOME, and RC Rental Car, we could not reach the listed domain, or the official-looking page turned out to be a third-party SaaS product site, so we could not even confirm whether these companies are still in business. Before the numbers even come into play, some companies required verifying that the business itself still exists — that was one of the things we learned while putting this together.
When does the cancellation fee actually start?

Many people assume a cancellation fee only kicks in a few days before pickup, but the 36 companies we could verify tell a different story. Only 7 of the 36 (OTS Rent-A-Car, Shin-Chitose Campervan Rental Center, Fuji Cars Japan, Camper Rental Service Kogyo, TOMO CAMPERS, Sun Life Rentacar, and Select Campingcar Hakodate) offer a genuinely free cancellation window. The other 29 start charging a fixed fee or a percentage from the moment the booking is confirmed, or very close to it.
99 Rent-A-Car Hokkaido, Nomadoya Rentacar, Shiro Journey, Shirokuma Campervan Rental, CAMPINGLABO, Ureska, Camping Lines Hokkaido, and Ohana, in particular, already charge around 10% of the rental fee the moment the booking is confirmed. If you make a tentative booking thinking “it’s still a long way off,” you may already be inside the first cancellation-fee bracket without realizing it — worth keeping in mind.
Company by company: cancellation timing, rate, and payment method
Below is the list of the 36 companies we were able to verify. Anywhere marked “Check with the company” means the official site had no specific wording on that point — we have not guessed to fill the gap. Each company name links to its own official site, so please confirm the latest terms there before booking.

Some companies don’t reach 100% even on the day

Many people assume “cancel on the day and you lose everything,” but among the 36 companies we verified, 3 cap the fee below 100% even on the day of pickup. OTS Rent-A-Car (New Chitose Airport branch) and Camper Rental Service Kogyo cap at 50% even on the same day, and Towa Motors Sales (Sapporo Spot) also caps at 50% from the same day onward. On the other hand, some companies — such as Shirokuma Campervan Rental and NORTH WOOD CAMP — already reach 80–90% the day before, so “cancelling the day before” can mean very different amounts depending on the company.
Which companies offer the longest — and shortest — free cancellation window
Among the 7 companies with a free cancellation window, TOMO CAMPERS and Select Campingcar Hakodate offer the longest, at “free up to 30 days before.” Next come Fuji Cars Japan (Chitose Rental Station), near New Chitose Airport, with “free up to 15 days before,” and Sun Life Rentacar with “free up to 14 days before.” The shortest is CANTAL (New Chitose Airport SS Branch), at “free up to 4 days before.” If your itinerary isn’t fully settled yet when you book, the length of this free window effectively works as your safety net.
Cash, bank transfer, or credit card — which is most common?

Among the 36 companies we verified, 9 accept credit card only: 99 Rent-A-Car Hokkaido, Hokkaido Nomad Rentacar (Chitose), Japan Road Trip (Sapporo), NORTH WOOD CAMP, Tabisuru Kuruma (New Chitose Airport Base), Vantrip, Camping Lines Hokkaido, Tajima Rental Station (Shin-Hakodate-Hokuto), and OTS Rent-A-Car (New Chitose Airport branch). Around 12 companies accept cash, and only North Camper and SALMON RENTALCAR explicitly mention e-money options such as PayPay. Bank transfer is widely used for deposit payments, but some companies (such as Tabisuru Kuruma) do not accept payment in cash at the counter on the day, so showing up with only cash in hand can leave you unable to pay.
Exceptions for illness, bad weather, or flight cancellation
Not every company has one, but some do publish rules that waive or reduce the cancellation fee in specific circumstances. Nomadoya Rentacar waives it for flight cancellation, natural disaster, or public transport suspension; North Camper and Chikichiki Campervan Rental waive it for a child’s sudden illness; Vantrip reduces it to 50% (even on the same day) for bad-weather flight cancellation; and GOODLUCK Campervan Rental reduces it to 50% on the same day for a pre-reported flight cancellation. That said, most of these come with conditions — a doctor’s note, advance notice, and so on — so if you think you might need one of these exceptions, confirm the exact conditions when you book. If bad weather is a real concern for your trip, it’s also worth reading our insurance and coverage guide to see how other risks besides cancellation are typically covered.
Companies whose own website contradicts itself
During this research, we found two companies where different pages on the same official website disagree with each other. FOX Camper’s Specified Commercial Transactions Act page and its usage guide page list different day-count brackets for the cancellation fee (the legal-notice page says “50% at 7–30 days before,” the usage guide says “10% at 30–14 days before,” and so on). Tajima Rental Station (Shin-Hakodate-Hokuto) has a similar issue: its FAQ page says the fee “starts 1 week before use,” while the legal notice inside its own booking system says cancellation is possible “up to 11 days before” for free. For this article, we did not pick one of the two conflicting figures — both are marked “Check with the company.” If you’re considering either of these companies, we’d recommend calling them directly before you book.
The 9 companies we could not verify
We could not find any wording about campervan cancellation terms or payment methods on the official sites of the following 9 companies, or we could not reach the site at all. If you’re considering any of these, including whether the business is still operating, we’d recommend contacting them directly.
- COTARU — the URL listed as its official site is a product page for a rental-car booking system, and we could not find a page specific to COTARU
- Pet Drive Rental Car (https://petdriverentalcar.jimdofree.com/) — checked the main pages, but found no mention of cancellation or payment
- LUXURY MOTORHOME (https://luxury-motorhome.com/) — could not connect to the site
- RC Rental Car (https://rc-campcar.com/) — could not connect to the site
- Hokkaido Camper Rental by TOMMY RENTACAR (https://hokkaido-campervan.com/) — could not connect to the site
- Lots NTB (https://ntbrental.jp/) — could not connect to the site
- Moving Inn (https://moving-inn.com/rentalcar) — the site’s rendering method meant we could not retrieve the actual terms text
- RV LAND Hokkaido (https://rvland-h.com/) — no terms, price, or FAQ page could be found
- R230 Car Share (https://r230.jp/carshare) — no terms page could be found

See details at Moving Inn →A checklist to confirm before you book
Here’s everything above turned into something you can check on the spot before you book.
- Does the cancellation fee start the moment the booking is confirmed, or is there a free window?
- How does the rate increase as the pickup date approaches, and what percentage applies on the day itself?
- Does the payment method (cash, bank transfer, credit card, PayPay, etc.) match what you want to use?
- Is it a full-prepayment system, and by when do you need to pay?
- Are there any waivers or reductions for bad weather, flight cancellation, or illness — and if so, what are the exact conditions?
- Do different pages on the company’s own site say different things? If you’re unsure, have you called to confirm directly?
- Have you compared the total cost including extra fees and optional charges, not just the cancellation fee?
In summary: cancellation fees start “sooner than you’d think”

What stood out most after researching all 45 companies is that a cancellation fee isn’t only a “last-minute” issue. Of the 36 companies we could verify, 29 already had some cancellation fee in place not long after the booking was confirmed. Only 7 offer a free window, and just 3 companies cap the fee below 100% even on the day. The differences between companies are large enough that if there’s any chance your itinerary might change, it’s worth comparing cancellation terms alongside price and vehicle type — not price and vehicle type alone. If you’re still deciding which company to book with, our comparison of rental companies and first-time rental guide can help.
Frequently asked questions
Q. Does the cancellation fee start right after I book?
It depends on the company. Of the 36 companies we verified, 29 start charging a cancellation fee (either a flat amount or a percentage) close to the moment the booking is confirmed. Only 7 offer a genuinely free window. Always check the specific company’s terms before booking.
Q. Does cancelling on the day always mean losing the full amount?
Most companies do charge 100% on the day, but 3 companies — OTS Rent-A-Car (New Chitose Airport branch), Camper Rental Service Kogyo, and Towa Motors Sales (Sapporo Spot) — cap the fee at 50% even on the same day.
Q. Which company has the longest free cancellation window?
Among the companies we verified, TOMO CAMPERS and Select Campingcar Hakodate had the longest, at “free up to 30 days before.”
Q. Which payment method is most common?
Credit card only is the most common, used by 9 of the 36 companies. Around 12 companies also accept cash. Only 2 companies mention e-money options such as PayPay.
Q. Does bad weather or illness get me out of the cancellation fee?
Some companies have a waiver or reduction, but not all of them. Nomadoya Rentacar, North Camper, Chikichiki Campervan Rental, Vantrip, and GOODLUCK Campervan Rental all have such provisions, but they usually require advance notice or supporting documents, so confirm the exact conditions when you book.
Q. Can a company’s own official website be inconsistent?
Yes. In this research, FOX Camper and Tajima Rental Station (Shin-Hakodate-Hokuto) both had cancellation terms that differed between pages on their own official website. If different pages say different things, don’t just trust one of them — call the company directly before booking.
Q. Do you have cancellation terms for all 45 companies?
No. We were able to confirm information from the official website for 36 of the 45 companies. The remaining 9 are not included because their site has no terms page, we could not technically reach the site, or we could not even confirm the business is still operating. Those companies are also listed by name in the article, so please check whether the company you’re considering falls into that “check with the company” group.
